Privacy and Confidentiality

Since 2011, we have collaborated with over 150 organizations on hundreds of digital projects, including highly strategic projects for multinationals. Because our work always involves innovation and product development, we take the confidentiality of all information we receive very seriously.
Who is Hubition?
Hubition is a registered company in the Netherlands under registration number 53931459. Our registered office address is Lange Viestraat 2b, 3511 BK, Utrecht, the Netherlands.
What data is stored?
- When you book a prototype session, the information you fill in on the form is stored to organize the session. Based on your IP address, we estimate which city you are in to show you the nearest locations. Only the name of the estimated city and country is stored, not your IP address.
- When you modify a prototype session in My Sessions, we store the new details to process the change. The old information is erased in this case.
- When you provide a file, we store this file to better prepare for the session.
- When you make a (partial) payment, your invoice details, VAT information, and payment method are stored to process the payment securely via Stripe (certified PCI Service Provider Level 1, the highest certification in the payments industry). Hubition itself never stores credit card information.
- When you sign up for a newsletter, we store your name, email address, and any preferences. We only send you emails with your consent. You can unsubscribe at any time by clicking 'Unsubscribe' at the bottom of an email.
- When you contact us, for example by sending a message, replying to an email, or scheduling a video call, we store your name, email address, and message to respond to your inquiry.
- When you accept marketing cookies, browser data such as your IP address, visited pages, and interactions on our website can be sent to Google, LinkedIn and/or Meta. This information is used to measure and personalize advertising performance.
With whom is my data shared?
- Hubition employees, including freelance workers, to organize the prototype session. We minimize the data an employee can view to only what is necessary to perform the service properly.
- Business partners, namely Stripe and Supabase, to store information, process payments, and comply with legal regulations. Only the information necessary to share is shared with each partner.
- Regulators, authorities, and law enforcement, when we are required to share information to comply with legal obligations, enforce our terms of service, or protect someone's rights, property, or safety.
Where is my information stored?
The data we collect is stored on servers in the European Union (Frankfurt, Germany). All data is encrypted at rest with AES-256 and during transmission with TLS.
How long is my information stored?
- Provided files are stored for up to 1 year after the completion of a prototype session so that these files can be reused if the client books a new session. For subscription clients, this data is stored as long as the subscription is active, up to 1 year after.
- Data from the prototype session shared in the booking form or when modifying the session, as well as Figma files designed by Hubition, are stored permanently so the client can access them and we can gain insights into our occupancy and comply with legal requirements.
Can I request a non-disclosure agreement (NDA)?
You can send us a message to request a written NDA. Even without an NDA, we handle your data with the same level of confidentiality.
Request to delete information
You can request the deletion of personal or organization-related information at any time, in accordance with rights under the European Union. To do this, you can send us a message.
